Privacy Notice

Mega League Manager (“MLM”) supports administration of the West Michigan VEX Mega League. This notice explains the information MLM processes, why it is used, and the choices available to users.

Information we process

• Account information: name, email address, external sign-in provider, provider account identifier, assigned roles, access scope, and successful-login time.
• League information: organizations, teams, venues, sessions, schedules, registrations, attendance, Tournament Manager workflow records, and competition results.
• Contact information: names, email addresses, phone numbers, communication preferences, and privacy settings supplied by authorized league or team managers.
• Operational information: security and audit events, delivery status and counts, backup records, and technical diagnostics needed to operate and protect MLM. Message History intentionally excludes message bodies and recipient addresses.

How information is used

MLM uses information to authenticate users, enforce role-based access, administer league activities, publish appropriate schedules and results, deliver authorized league communications, honor email preferences, investigate problems, maintain backups, and protect the service.

Sharing and service providers

Information is available only to authorized league personnel according to their roles, except for league information intentionally published on public schedules, rosters, or results pages. MLM may rely on hosting, identity, email, and competition-data providers, including Hostinger, Google, Microsoft, and RobotEvents/VEX services. These providers process information under their own applicable terms and privacy notices. MLM does not sell personal information.

Cookies

MLM uses essential authentication and security cookies to keep users signed in and protect requests. MLM does not use advertising cookies.

Retention and security

Information is retained for active league operations, security, audit, backup, and legitimate historical needs. Communication preferences are retained as needed to honor opt-out choices. Access controls, encrypted HTTPS connections, restricted production credentials, audit records, and protected backups are used to reduce risk. No system can guarantee absolute security.

Youth information

MLM is an administrative service for authorized adults and is not intended for direct use by children under 13. Team and competition records may concern youth participants, so managers must enter and use personal information only when authorized and necessary for league operations.

Your choices

Users may request review or correction of their account or contact information through a League Administrator. Email recipients may use the preference or unsubscribe controls included in eligible messages. Some audit, security, backup, or competition records may need to be retained.
